Creating Teams
Teams help you organize workspace members by function, department, or project. Navigate to Teams in the workspace sidebar and click Create Team.
Provide a team name, optional description, and choose a visibility level:
- Public — visible to all workspace members
- Private — only team members can see the team and its events
Best practices for organizing teams:
- Create teams around functions (Engineering, Design, Marketing) or projects (Project Alpha, Q1 Launch)
- Keep teams focused — a team of 3-8 people works best for scheduling
- Use private teams for sensitive groups (e.g., Leadership, HR) where events should not be visible to the entire workspace
- A person can belong to multiple teams, so don't hesitate to create cross-functional teams for specific initiatives

Understanding the difference between team and workspace calendars helps you get the most out of Planim.
Workspace Calendar
The workspace calendar is the aggregated view — it shows events from all teams and all members in one place. Use sidebar filters to narrow the view by team, member, or tag. This is your bird's-eye view of everything happening in the organization.
Team Calendar
Each team has its own dedicated calendar that shows only that team's events. It is a focused view for team-level planning. Access it from the team page by clicking Calendar in the team navigation. When you create an event from a team calendar, the team is automatically assigned.
In practice, use the workspace calendar for cross-team coordination and the team calendar for day-to-day team scheduling. Both support the same features: Day, Week, and Month views with drag-and-drop, resize, and keyboard navigation.
Team Colors
Each team has an assigned color that appears on calendar events. This makes it easy to distinguish events from different teams at a glance.
To change a team's color, go to Team Settings and use the color picker. Planim provides a curated palette of 12 distinct colors designed to be easily distinguishable on the calendar grid. The chosen color will apply to:
- All events associated with that team across every calendar view
- The team badge in the sidebar and member lists
- Multi-participant events that show colored stripes when participants belong to different teams
Pick distinct colors for your teams to make the calendar more readable — avoid similar shades for teams that often have overlapping schedules. High-contrast pairs like blue/orange or green/purple work particularly well.
Members and Roles
Teams have their own role system:

| Owner | Full team control — settings, members, deletion |
| Admin | Manage team events and members |
| Member | Participate in team events |
Add members from the workspace member list. A person can belong to multiple teams simultaneously. Use the Add Member dialog in the team members page to add people.
Visibility and Settings
Team settings allow you to control:
- Name and description — update at any time
- Visibility — public or private
- Color — visual identity on the calendar
- Transfer ownership — hand off team management to another member
Private teams and their events are hidden from non-members in the workspace calendar.
Example: Organizing Teams for a 20-Person Startup
A startup with 20 people might structure teams like this:
- Engineering (8 people, blue) — daily standups, sprint ceremonies, code reviews
- Design (4 people, purple) — design critiques, sprint reviews, handoff meetings
- Product (3 people, green) — planning sessions, stakeholder updates
- Marketing (3 people, orange) — campaign syncs, content reviews
- Leadership (5 people, private, red) — exec meetings, board prep, confidential planning
Cross-functional teams for specific initiatives:
- Launch Team (6 people from Engineering + Design + Marketing) — coordinates the product launch across departments
- Hiring Committee (4 people, private) — interview scheduling and debrief meetings
With this structure, the workspace calendar shows a clear color-coded picture of the entire company. Filter by "Engineering" to see only dev meetings, or toggle on "Engineering" + "Design" to spot scheduling conflicts between the two teams.
